- Minimum Education: High school diploma or equivalent required.
- Experience: Prior experience in a hospital business office or admitting office preferred. Experience with data entry and customer service is a plus.
- Skills: Proficiency in computer-based systems (word processing, spreadsheets, and database management). Ability to operate a hospital-wide telephone switchboard.
The Patient Access Specialist plays a vital role in ensuring a smooth patient registration process, verifying insurance eligibility, and providing exceptional customer service to patients and visitors. This position is responsible for registering patients efficiently and accurately in both acute and ambulatory settings, managing patient data, and ensuring the timely and accurate processing of payments. The Patient Access Specialist will contribute to the seamless operation of the clinic or hospital by coordinating various administrative tasks and maintaining strong relationships with patients, staff, and other departments.
Key Responsibilities:
Patient Registration & Data Management
- Register all patients for both acute and ambulatory care settings, ensuring accurate and complete information is captured.
- Coordinate night quick admits and update patient records from hardcopy forms to electronic systems.
- Maintain and update pre-registered accounts, completing registration upon patient arrival or discharge.
- Scan and file all patient registration forms into the electronic medical record system.
Insurance Verification & Payment Processing
- Verify insurance eligibility for patients and validate prior authorization information from external providers.
- Collect and process patient payments (co-pays, deductibles, co-insurance) in-person or over the phone.
- Generate cost estimates for upcoming procedures, services, and visits.
- Process insurance remits and scan them into the appropriate file folders.
Customer Service & Communication
- Greet patients and visitors in a friendly, professional manner, both in person and over the phone.
- Answer multi-line phones and direct calls to appropriate areas as needed.
- Schedule patient appointments according to provider preferences and assist with appointment reminders.
- Notify appropriate staff of patient arrival for STAT procedures or exams.
Administrative Support & Documentation
- Monitor patient census and notify the Department Manager of admission status.
- Process incoming mail, distribute to relevant departments, and log patient account numbers for checks and payments received by mail.
- Assist with organizing incoming faxes and print jobs from hospital-wide copy and fax machines.
- Ensure that all patient data and documentation are accurate and complete.
- Assist with registration audits and corrections as needed.
Collaboration & Continuous Learning
- Maintain positive and effective relationships with co-workers, other departments, patients, and visitors.
- Attend required meetings, training sessions, and complete assigned continuing education as necessary.
- Participate in cross-training across all registration areas to enhance team collaboration and service continuity.
Other Duties
- May be required to work evenings, weekends, holidays, or overtime as needed.
- Perform other duties as assigned to support the clinic’s or hospital’s needs.
Certification:

Physical Requirements:
- Ability to sit and work at a computer, walk, lift, reach, and coordinate hand-eye tasks.
- Must be able to speak and write clearly in English.
- Occasional lifting and physical activity required (up to 20 lbs).
Working Conditions:
- Primarily works in an office setting with exposure to patient elements.
- Potential exposure to blood-borne pathogens, body fluids, and tissues.
